Estate Planning Intake Software Compared

Last updated: October 12, 2026

Estate planning firms collect client information in one of three ways: paper or fillable PDF forms, the general intake forms built into practice management software, or an intake platform built specifically for estate planning. Here is how they compare, including the three leading specialized platforms: Eternal Pro, DecisionVault and Legacy Architects.

1. Paper and Fillable PDF Forms

Familiar and cheap, but every answer has to be retyped by staff, handwriting has to be deciphered, gaps often surface only at the design meeting, and the forms are out of date the day the plan is signed.

The bigger problem is security. A completed estate form can hold dates of birth, Social Security numbers, account numbers and health information, and it almost always comes back as an email attachment, either a filled PDF or a scan of the paper. Email was never built for that. The file sits in inboxes on both ends, gets forwarded, and stays there for years, readable by anyone who gets into either account.

Why this matters: Emailing completed intake forms is bad practice, however common it is. With Eternal Pro, clients enter their information directly into a SOC 2 Type 2 and HIPAA compliant platform, and nothing sensitive travels by email. Clients who prefer paper can still fill in a printed copy of your exact intake in person.

2. Generic Intake Forms (Clio, Lawmatics and others)

Clio and Lawmatics are excellent platforms, and both are SOC 2 Type 2 audited and HIPAA compliant. But their forms serve every practice area, so an estate firm has to build and maintain its own questionnaire. There is no asset inventory, no digital estate, and no client updates after signing. Clio source Lawmatics source

Why this matters: Eternal Pro does not replace your CRM, it integrates with it. Keep Clio or Lawmatics, and let Eternal Pro handle estate intake.

3. Specialized Estate Intake Platforms

  • Eternal Pro: SOC 2 Type 2 certified and HIPAA compliant, with authorized WealthCounsel and Trustate integrations, the whole digital estate, and client updates for the life of the plan. Flat pricing with unlimited matters.
  • DecisionVault: A capable intake platform with a SOC 2 Type 2 audit and authorized integrations. Priced by new matters each month, English only, with no digital asset coverage and no HIPAA compliance claim. Full comparison
  • Legacy Architects: Goes furthest into drafting, and is built around its founder's practice method. Not SOC 2 certified, not HIPAA compliant, and not an authorized WealthCounsel integration. Full comparison
